We are seeking a full-time Administrative Manager complementing our small and dedicated team that includes the Executive Director, a full-time Receptionist/Administrative Assistant and part-time Receptionist/Program Assistant.

Stillpoint Description

Stillpoint: Center for Spiritual Development is a small non-profit, faith-based spirituality center in Summerlin, LasVegas, founded in 2004 and governed by a Board of Trustees.  Our mission is to provide a gathering space that is hospitable to and nourishing of the spiritual life.  Stillpoint welcomes individuals and groups from all faith traditions who genuinely seek a relationship with the Divine and who desire to embrace the sacred in their lives.

Beginning with the core offerings of Spiritual Direction, Lectio Divina Prayer Groups, Spiritual Book Groups, and the Enneagram, Stillpoint continues to expand.  Our program variety includes workshops, seasonal Liturgical celebrations and rituals, Centering Prayer, complementary spiritual practices, and community speaker events with international presenters.  Past speakers include Richard Rohr, Thomas Keating, Paula D’Arcy, John Philip Newell, Diana Butler Bass, Brian Swimme, and Kay Lindahl.  In recent years’ our offerings have also included community programs such as Mindfulness Based Stress Reduction, Singing Bowls, Dharma talks, meditations with visiting Buddhist monks, and journaling workshops.

Position Purpose & General Description

The Administrative Manager reports to the Executive Director, attends to the day-to-day administrative and program operations at Stillpoint, supervises and provides back-up for the Receptionist/Administrative Assistant, and supports the Executive Director.  Typical hours are weekdays, 8:30am-5:30pm.  Evening and weekend program support, as needed, is shared by all staff, including the Administrative Manager.  This is a team environment dependent upon a very small and dedicated staff that is committed to the mission, partners well together, and takes ownership for the success of Stillpoint.


  • Financial Management: Oversees financial management systems, including receipt of funds, bill payment, payroll, Quickbooks. Works as liaison with bookkeeper, treasurer, executive director, and audit and accounting personnel. Insures all reporting is done timely, accurately, and efficiently. Performs and insures accuracy of all reporting systems for finances and programs. Responsible for budget development and compliance, Accounts receivable, Accounts payable, payroll, bookkeeping data entry, analyzing leases and business insurance, maintaining nonprofit and financial reporting.
  • Marketing & CRM Management: Develops, edits and maintains all forms of marketing communication, including implementation and use of a CRM, calendars, brochures, flyers, correspondence, email, Facebook, and all electronic media and communication. Works with website provider on updates and revisions. Responsible for drafting, editing, posting, and updating website material.
  • Executive Support: Provides support to the Executive Director to aid in the fulfillment of Stillpoint mission. Completes tasks in a timely, accurate, and efficient manner. Meets with Executive Director regularly for planning, feedback and support. Organizes and maintains the administrative calendar.
  • Front Desk Support: Oversees and trains the Administrative Assistant/Receptionist on new programs and systems, in his/her absence (e.g., lunch and vacation days) assumes receptionist responsibilities at the front desk, and works collaboratively on projects.
  • Program Support: Prepares for all classes, workshops and retreats. Shares responsibility for welcoming and introducing guests and speakers. Develops and maintains appropriate internal control for calendaring and record keeping of programs (scheduling, delivery, and evaluation). Creates program reports and reports to the Executive Director on program financials and attendance.  Tracks and updates reporting for the Strategic Plan.
  • Event Management: Manages and oversees all logistics related to delivering events, including marketing, ordering materials, training and supervising volunteers, prepping food for small events and overseeing caterers and other contractors for large events. Coordinates with outside event venues and obtains appropriate licenses, when necessary.
  • Soft Tech Support: Assists in development, edits and maintains all forms of communication in support of programs and services, including calendars, brochures, correspondence, email, Facebook, and all electronic media and communication. Develops and maintains appropriate internal controls. Works with IT company to ensure computer systems are running well; recommends necessary upgrades when needed.
  • Facility Management: Oversees maintenance and upkeep of office. Works with Executive Director, property management company, staff, volunteers and vendors on all facility issues in order to maintain environment that supports the Stillpoint ambiance.
  • Staff Management: Oversees hiring process, training, and scheduling of office and part-time staff; maintains performance records and evaluations; directs day-to-day work of staff. Ensures proper staffing is maintained to adequately support all programs and services of Stillpoint and Executive Director. Oversees coordination of volunteers for special events. Maintains, updates, and creates new training materials as needed.


  • Minimum of 5 years’ experience in office supervision or management
  • Proficient in Microsoft Office products and Quickbooks
  • Demonstrated proficiency with software, social media, and professional correspondence
  • Good written and oral communication skills
  • Ability to prioritize and manage multiple assignments and meet deadlines
  • Exceptional professional and interpersonal skills and ability to welcome and work collaboratively with staff, volunteers, board, community partners and clergy of various faith traditions
  • Excellent project and event management skills
  • Willingness to work a flexible schedule with minimal supervision; includes weeknights and weekends when needed
  • Enthusiasm for and dedication to the mission and vision of Stillpoint

$35,000 to $50,000 depending upon prior experience and job duties to be assumed.
